Privacy Policy

Effective date: September 4, 2026

This Privacy Policy explains how Cellusion Tech FZE, doing business as SnapEzee, collects, uses, discloses, retains and protects personal information when you use the Service. It should be read with the Terms and any just-in-time privacy notices shown during capture, upload, checkout or account use.

1. Scope and privacy contact

This Policy applies to the SnapEzee website, mobile applications, digital photo-processing service, accounts, support, transactions and activated printed-photo services. It does not govern independent third-party sites or services that we do not control.

2. Information we collect

Photo and image information: original camera captures and uploads; processed, cropped, background-adjusted and generated versions; thumbnails; selected background; image metadata; and technical file properties.

Photo-assessment information: detected facial landmarks or coordinates, head position and dimensions, pose, eye visibility, expression indicators, lighting, sharpness, obstruction, background assessments, validation scores, error reasons and retake recommendations.

Account and contact information: name, email, telephone number, password hash, account preferences, verification status and saved addresses.

Order and transaction information: products, document selections, custom dimensions, country/region selection, currency, tax, discount, order history, payment status, payment token, card brand and last digits, receipt, refund and chargeback information. We do not intentionally store full card numbers or security codes when payment is handled by our processor.

Device and usage information: IP address, device and advertising identifiers where permitted, browser, operating system, language, app version, approximate location, timestamps, session and cookie identifiers, navigation events, feature interactions, diagnostics, crash reports and security logs.

Location and permissions: location information you provide or permit for localization or physical serviceability, and the status of camera, gallery, notification and biometric-login permissions. Device biometric login is generally handled by the device platform.

Communications: support requests, contact forms, issue reports, screenshots, survey responses, reviews and records of consent, warnings and acknowledgements.

3. Sources of information

We receive information directly from you and your device; automatically through the website or app; from payment, authentication, analytics, fraud-prevention and delivery providers; and from another authorized user who submits a photograph or order for you. If another user provides your photo, they must have authority to do so.

4. Why we use information

We use personal information to provide the Service; process and technically assess photos; generate outputs; deliver downloads and prints; manage accounts, payments, taxes and refunds; provide customer support; secure the Service and prevent abuse; troubleshoot and improve reliability; maintain records; comply with law; establish or defend legal claims; and send marketing only where lawfully permitted.

We do not use photographs for targeted advertising. We do not sell photographs. We do not train general-purpose or third-party AI models with customer photographs without separate, explicit and optional consent.

5. Legal bases where required

Depending on applicable law, we rely on performance of our contract to process orders and provide requested features; consent or explicit consent for sensitive or optional processing; legitimate interests in security, fraud prevention, service administration and proportionate improvement; and legal obligations for tax, accounting, regulatory and lawful-request compliance.

Where consent is the basis, you may withdraw it prospectively, but withdrawal does not invalidate earlier lawful processing and may prevent us from providing a feature that necessarily requires the information. Optional analytics, advertising and marketing consent will not be bundled with photo processing required to fulfil an order.

6. How photo processing works

When you capture or upload an image, SnapEzee and its contracted processors may transmit and analyze it to detect whether a face is present, measure technical positioning, evaluate quality, remove or adjust the background, crop and resize, apply limited technical corrections and generate a result.

The system may automatically reject an image or recommend a retake. This decision concerns technical processing only. It does not identify your legal status, determine eligibility for a document or bind any government authority. You may retry and contact support at hello@snapezee.com.

7. Biometric and facial-analysis information

A facial photograph is personal information. Depending on the technology and jurisdiction, facial measurements or templates may also constitute biometric or sensitive information. Before launch, we will document whether the Service creates facial geometry, embeddings, faceprints or templates and whether they can identify or authenticate a person.

If legally covered biometric information is collected, SnapEzee will provide the required advance notice, identify the purpose and retention period, obtain the legally required consent or release, prohibit sale or unlawful disclosure, apply appropriate safeguards and follow a public retention and destruction schedule.

SnapEzee’s standard photo checks are not intended to identify a person or compare them with a government, law-enforcement or identity database.

8. Children’s information

The Service is directed to purchasing adults, although an adult may process a child’s document photograph. The adult must be the parent, legal guardian or otherwise authorized representative and must provide any consent required by law.

We do not knowingly allow children below 18 years to independently create accounts or provide consent. If we learn that information was collected without valid authorization, we will delete it as required. Contact hello@snapezee.com regarding a child’s information.

9. When we disclose information

We may disclose only the information reasonably necessary to contracted service providers for cloud hosting and storage; AI and image processing; content delivery; account authentication; payment and fraud prevention; email, SMS and notifications; analytics and diagnostics; customer support; printing and delivery; professional advice; and security.

We may also disclose information when required by law or valid legal process; to protect rights, safety and security; in connection with a proposed or completed merger, financing, reorganization or sale subject to appropriate safeguards; or with your direction or consent.

We require processors to use information only under our instructions and to apply appropriate confidentiality and security obligations.

10. No sale and advertising choices

SnapEzee does not sell customer photographs. If we use cross-context behavioural advertising, eligible users will receive the required opt-out mechanisms, including recognition of legally required preference signals such as Global Privacy Control.

Marketing email and push notifications are optional. You may unsubscribe using the message control or account settings. Service, security and transaction messages may continue where necessary.

11. International transfers

SnapEzee serves users internationally, and information may be processed in countries other than where you live. Those countries may have different privacy laws. Where required, we use recognized transfer mechanisms and contractual, organizational and technical safeguards. Contact hello@snapezee.com for information about applicable safeguards.

12. Retention and deletion

We retain information only for the purposes described, taking account of service needs, user choices, sensitivity, security, disputes and legal obligations.

Unpaid or abandoned uploads: deleted within 24 hours (interim default). Failed-processing images: deleted within 24 hours of failure resolution (interim default). Guest purchased photos: retained 30 days (interim default). Account-saved photos: retained until you delete them, close your account, or after a defined period of account inactivity. Facial landmarks and technical scores: deleted with the associated photo, or sooner. Support attachments: retained only as long as needed to resolve your request. Account data: retained while your account is active, plus a limited period after closure. Transaction, invoice and tax records: retained for as long as required by applicable law. Security logs: retained for a limited operational period. Encrypted backups: isolated and deleted or overwritten on our regular backup cycle, unless preservation is legally required.

Deletion removes information from active systems within a reasonable operational period. Residual encrypted backup copies are isolated from ordinary use and deleted or overwritten on schedule, unless preservation is legally required. We may retain a minimal suppression, fraud or legal record without retaining the photograph.

13. Your choices and rights

Depending on your location, you may request access, correction, deletion, restriction, portability, withdrawal of consent, objection to certain processing, information about disclosures, opt-out of sale/sharing or targeted advertising, and review or appeal of a denied request. You may also complain to a privacy regulator.

Submit requests to hello@snapezee.com. We may verify your identity proportionately and may permit an authorized agent where law requires. We will not unlawfully discriminate against you for exercising a right. Some information may be retained or withheld where an exception applies.

14. Camera, gallery, location and notifications

Camera and gallery access is used only when you invoke capture or upload features. Location is used for serviceability and delivery purposes and should not be collected more precisely than necessary. Notification permissions support order, download, security or optional marketing messages. You can manage permissions in device settings, although disabling one may limit the related feature.

15. Cookies, analytics and similar technologies

We use essential technologies for sessions, security, preferences, carts and authentication. With consent where required, we may use analytics, diagnostics and advertising technologies. Our cookie notice will identify each material provider, purpose, duration and category and provide controls to reject or withdraw non-essential consent.

We will avoid placing advertising trackers on raw-photo upload and processing views where reasonably possible.

16. Security

We use proportionate administrative, technical and physical safeguards, such as encryption in transit and at rest where appropriate, access controls, role-based permissions, logging, secure development, vendor review, backups, monitoring and incident response. No method is completely secure, and we do not promise absolute security.

You should use a unique password, protect your device and download links, and contact hello@snapezee.com if you suspect unauthorized access.

17. Data incidents

We investigate suspected personal-information incidents, take reasonable containment and remediation steps, document incidents as required and notify affected individuals and regulators when applicable law requires notification.

18. Third-party links and app stores

The Service may link to government guidance, app stores, payment pages or other independent services. Their privacy practices are governed by their own notices. App-store privacy labels are summaries and will be maintained consistently with this Policy and actual SDK behaviour.

19. Changes to this Policy

We may update this Policy to reflect product, vendor, legal or operational changes. We will post the updated version and effective date and provide additional notice or renewed consent for material changes where required.

Appendix A — Required in-product notices

General result notice: “SnapEzee technical checks completed. Your photo was prepared using the settings currently configured for the selected document. Requirements and acceptance decisions are controlled by the receiving authority. Confirm that self-taken and digitally processed photos are permitted for your application method.”

Canada passport warning: “Canadian passport authorities currently require passport photos, including digital photos for eligible online renewals, to be taken in person by a commercial photographer. They may reject self-taken or digitally altered photos. You may continue to create a photo in the selected dimensions, but a SnapEzee photo may not be accepted for a Canadian passport application.”

Pre-payment acknowledgement: “I understand that SnapEzee is an independent photo-preparation service, does not guarantee acceptance, and does not automatically refund an order solely because an authority rejects the photo. Mandatory consumer rights still apply.”

Photo-processing consent: “I authorize SnapEzee and its contracted processors to analyze and process this photograph to create the requested document photo, as described in the Privacy Policy.”

Photo of another person: “I confirm that I am the person shown or have their permission and legal authority to upload and process this photograph.”

Child-photo confirmation: “I confirm that I am the child’s parent, legal guardian or otherwise authorized to consent to processing this photograph.”

Save-photo notice: “Save this photo to your account for future download or reorder. It will remain stored until you delete it, close your account or the stated retention period expires.”

Digital-sale notice: “Digital processing begins immediately after purchase. Except where required by law or where the service is defective or not delivered, completed digital orders are final.”

Physical-service notice: “Printed-photo availability, fulfilment method and delivery estimates depend on your location. Printing does not satisfy a requirement that the photograph itself be taken by a commercial photographer unless expressly stated for the specific service.”
